Your Obligations

Once you have taken delivery of your vehicle, there are certain duties and obligations that must be met. The guidelines below have been provided to assist you with this. In all circumstances you must adhere to all policies and requirements set out by your employer.

Regular Vehicle Checks

To ensure that your vehicle remains in good condition, you should regularly complete all checks as recommended by the vehicle’s manufacturer, and your employer’s car scheme policies, including the following:

  • Tyre condition/pressure*
  • Fluid levels i.e. oil/water**

*Tyre checks should include monitoring the pressure, tread depth and overall condition of the tyres whilst looking for signs of irregular wear. You should also check that your spare tyre (where available) is always in good condition.

**Please note: Oil consumption for new engines may be slightly higher than normal and they could use as much as 1 litre of oil for every 1000 miles, meaning that regular weekly checks are critical. Failure to maintain the correct level of oil may result in serious damage to your engine for which you will be liable.

For electric vehicles, it is important that you check coolant levels often. Electric vehicles rely on coolant to prevent the batteries from overheating.

Stick to the service schedule

Given the short duration of your agreement, your car is unlikely to require a service. If you are unsure as to the service schedule of your vehicle, speak to your Scheme Co-ordinator or refer to the vehicle handbook or user manual.

If a service is required, it should be completed by an approved brand technician. If a technician that is not approved carries out work or there is an incomplete service history at the end of your agreement, you may be liable for a penalty charge.

Do not drive if the vehicle is defective

If at any time you feel the vehicle is defective, please pull over where and when it is safe to do so and call your breakdown provider.

Repairing any damage

Please make arrangements to repair any known defects as soon as possible to ensure the safe operation of your vehicle. Should you require any guidance please speak to your Scheme Co-ordinator.

Returning your vehicle

If you return your vehicle at any time, your employer will carry out a vehicle inspection and a return note should be signed by yourself or somebody else on your behalf, and your employer.

You must ensure that the vehicle is clean (inside and outside) so that a thorough inspection can be conducted. All documentation and items supplied with the vehicle must also be returned, including service books or manuals, alloy wheel keys, remote unlocking devices and all keys. Personal items should be removed and you should clear any satellite navigation or media systems of personal details, addresses and phone numbers.

Please refer to the End of Agreement Checklist and Fair Wear and Tear Guide for further information.

Passenger Safety

As the driver of the vehicle you must ensure that you and all passengers in the vehicle wear a seatbelt. Failure to do so could result in a fixed penalty notice or a fine for which you will be liable.

Driving Licence

Any driver of the vehicle must be the holder of a full and valid driving licence.

Vehicle Use

At all times your vehicle must be driven in accordance with the applicable motor insurance policy and your employer’s instructions and policies, and all applicable laws. Please speak to your Scheme Co-ordinator if you are unsure. Only drivers who are properly insured on a fully comprehensive basis may drive your vehicle.
